Here is a simple scheme that will permit multiple copies of a single document to be sent to different recipients, and a single recipient to receive multiple documents.

Table Name: DOCUMENT
doc_id....Numeric (or Text)
title.....Text
Descrip ..Text (or Memo if necesary)
other fields as needed

Table Name: RECIPIENT
doc_id....Numeric (or Text)
recip_id..Numeric (or Text)
name......Text (name of recipient)
send_dt...Date/Time
recv_dt...Date/Time
other fields as needed

DOCUMENT.doc_id is Primary Key

RECIPIENT.doc_id is Foreign Key
RECIPIENT.doc_id and RECIPIENT.recip_id (together) constitute the Primary Key of RECIPIENT

Keep in mind that fields which participate in relationships MUST be the same datatype; those field names, though, can be the same or different - it doesn't matter.

Create a one-to-many relationship between DOCUMENT.doc_id and RECIPIENT.doc_id. (DOCUMENT is the independent entity, RECIPIENT is the dependent entity - or parent & child tables, if you prefer)

In that configuration, Access will not allow records to be entered in the RECIPIENT table unless there is a corresponding record in the DOCUMENT table.

You could get even fancier by creating a GROUP (or CATEGORY) table, and use it to create a many-to-many relationship. Email me if you need more help.
